Event Assistant

Elawa Farm Foundation’s mission is to steward a historic farm that enriches greater Lake County as a center for experiential learning to broaden access to education, nutritious food, and our local food system. We gather community through food and agriculture with a sustainable farm, café, weekly market, learning kitchen, and educational programming for youth and adults.

We are seeking a seasonal, part-time Event Assistant to assist with the event planning activities of the organization. This position works with our Event Manager and service staff to ensure events are properly executed. Events include both private and public events, such as weddings, corporate retreats, private dinner parties, as well as community and farm dinner programs for the public. Weekend and evening hours are required.

Responsibilities

  • Attendance during final walk-thru with clients, planners and vendors and coordinating any updates or modifications to the Elawa Farm BEO.

  • Assist in securing event details from client (timelines, floor plans, rentals) and incorporating the information into the Elawa Farm BEO.

  • Assist with final Elawa Farm walk-thru to ensure all items necessary for the event including hardscape, tablescape, bar and final information from the client are accounted for and secured.

  • Work with Elawa Farm Porter to ensure all event spaces are prepared and ready for events.

  • Work with other Elawa Farm Departments to ensure multiple use spaces are prepared and ready for events consistent with the Elawa Farm BEO.

  • Assist with the upkeep and management of the Event software including converting leads to events, sending preliminary event information to prospective clients and ensuring calendars are kept current.

Essential Functions

  • Availability to work on Friday and Saturday evenings during events from May – October.

Qualifications

  • 2+ years of catering or event management experience. Front of house management and/or service experience is a plus.

  • Associate or bachelor’s degree is preferred.

  • High level of organization, attention to detail, and strong verbal/written communication skills are a must.

  • Possess a calm, solution-oriented, and charismatic disposition. Understand the importance of providing a high-level of hospitality to both clients and guests.

  • Ability to work evening and weekend hours for events.

  • Proficient in Microsoft Office and Google Suite. Familiarity with Event Management and Staffing Software is a plus.

Physical Requirements

  • Requires the ability to provide site tours of the facility, including various on-site event spaces and farm grounds.

  • Requires the ability to use computers, phones, and other office equipment.

  • Requires the ability to speak audibly and listen actively.

  • Requires the ability to lift 25 lbs. and assist with event space set-up (e.g., moving chairs and tables)

Compensation: The hourly rate for this position is $20-$24/hour, commensurate with experience. This position works an average of 20 hours per week from mid-April – October.

Reports to: Event Manager

Schedule: Friday and Saturday during the day through evening hours. Flexible weekday schedule.
